What happens in this clip
  1. A Harvest personal access token is pasted into the import page.
  2. A preview counts clients, projects, people, hours and invoices.
  3. Import everything starts the import; progress is shown per type of data.
  4. The verification report shows that hours per project, person and client, and invoice totals, all match.

    Create a token in Harvest

    In Harvest ID, open Developers and create a personal access token. It takes about 30 seconds. We link you straight to the page.

  2. Step 2

    Paste it and preview

    We show you what we found: clients, projects, people, hours and invoices, with counts, before anything is copied.

  3. Step 3

    Confirm and keep working

    The import runs in the background with progress per item. Big accounts take longer; we email you when it's done.

  4. Step 4

    Read the match report

    Hours per project and per person, and totals billed per client, compared with the figures in your Harvest account. Either everything matches, or we list each difference.

What comes across

  • Company settings: time and date format, week start
  • People, roles, default and historical billable and cost rates (active and deactivated)
  • Clients and contacts, with each client's currency
  • Projects with budgets, billing type, rates, fixed fee, and archived projects
  • Tasks, task assignments and team assignments with their rates
  • Time entries from any date, including archived projects and entries without a task
  • Invoices with line items, taxes, discounts, status and payments
  • Estimates and expenses: kept safe, read-only for now

Your token, handled carefully

  • Used only to read your data. We never write to your Harvest account.
  • Encrypted while the import runs, then deleted. You can also revoke it in Harvest right after.
  • If the import is interrupted, it resumes where it stopped. Nothing is duplicated.
  • The import uses Harvest’s public API with a token you create. Harvest may change or limit its API at any time.

Not here yet

So there are no surprises after you move:

  • Resource scheduling
  • Apps in the App Store and Google Play (LockedHours installs from the browser on computers and phones, and timers work offline)
  • QuickBooks and Xero sync (on the way)
  • Certified Spanish e-invoicing (Verifactu)

Estimates and expenses are imported and kept safe either way.
